At Erindor, we work together to bring a rich and immersive world to life. Our crew consists of passionate volunteers who contribute in various ways. We distinguish between four core groups:
- Practical Crew
- Kitchen & Bar Crew
- Refs
- Scenario Team
Please note: Joining the crew at Erindor is fully voluntary. There’s no financial compensation, but you’ll get food, good company, and our eternal gratitude. 😉
We have a solid core of experienced crew members who’ve supported us for years. In addition, every event offers a few open crew spots for new faces. As long as these are available, you’ll find them listed on the registration form for each specific event.
Practical Crew – The Logistical Backbone
Responsibilities & Expectations:
- Help set up and break down the site (Friday from 12:00 until Sunday around 14:00)
- Help clean the location after the event
- Assist with transporting stock and props (from Ghent to the event site near Leuven)
- Help with grocery shopping and/or transporting these to the site
- Offer flexible support: kitchen help, general logistics
- Optional: take on a larger NPC roles during the event if desired
Requirements:
- Your own transport is essential
- You’re practical, proactive and hands-on
- You can be physically present for key setup and teardown moments
- Ideally, you’re available for every event – or communicate clearly if not
Kitchen & Bar Crew – Practical & Supportive
Helping in the kitchen or at the bar means supporting the event in a vital way. You help create structure, atmosphere and comfort throughout the weekend.
Expectations & Responsibilities:
Availability:
- Arrive on Friday around 18:30 the latest
- Stay until Sunday ±12:00 (including cleanup)
Kitchen
- Assist with heating and serving simple, nourishing meals
- Keep the kitchen clean and help with dishwashing
- We do not use perishable foods that would require refrigeration or a food safety license.
Bar
- Keep the bar area clean and well-organized
- Pour drinks discreetly to maintain immersion in our medieval fantasy setting
- Never hand out bottles or cans – always serve in appropriate cups or mugs
Refs – Rules, Safety & Game Flow
Responsibilities & Expectations:
- Know the rules and help apply them clearly on the field
- Make minor rulings or plot calls within agreed-upon guidelines
- Act as a point of contact for players with questions or in-game conflicts
- Help maintain game flow and atmosphere
- Be an approachable, empathetic contact for technical, physical or emotional concerns
Requirements:
- Basic knowledge of the Erindor world, its history and current plot is essential
- You’re neutral, communicative and reliable
- You participate in as many events as possible
Scenario Team – Story & Worldbuilding
The Scenario Team is responsible for shaping the narrative heart of Erindor. You help build the world before the event and actively carry it during play. This role requires confidence, empathy, and a strong sense of when to push a story forward and when to let players lead.
Before the event
You contribute to worldbuilding, lore development, and the co-creation of player backstories. You help ensure that characters, factions, and conflicts feel grounded, connected, and meaningful within the wider Erindor setting.
During the event
You portray key NPCs tied to major plotlines and act as living anchors for the story. You make narrative decisions in the moment, improvise when plans shift, and adapt to player choices without breaking immersion. You are also a point of contact for story-related questions from players, refs, or other crew.
Decision Boundaries
Scenario Team members are trusted to act decisively and creatively during the event. You are fully empowered to introduce consequences, moral dilemmas, losses, revelations, and emotional impact.
Decisions that permanently affect major factions (such as the Order, the Chaos Spot, or noble houses), long-running player characters, or the core direction of Erindor’s world should be aligned with the head organizer. Temporary outcomes and meaningful short-term consequences are fully within your scope.
Requirements
You have an in-depth understanding of the Erindor world, its characters, history, and current plotlines. You communicate clearly and stay in close contact with the head organizer when handling impactful story developments. Ideally, you are present at every event, especially when your characters or plotlines are active.
Being Part of the Erindor Crew
Being a volunteer at Erindor is more than just lending a hand. You become part of a close-knit team that brings an entire world to life, from setup to teardown, from costuming to campfire moments.

Meet our current CREW
Our current REF’s: Tom & Erwin

Tom and Erwin have been part of our LARP crew for nearly a decade now! They started out with a small try-out event in 2014, rolled into CROSSROADS LARP (2015–2022), and eventually joined us when Erindor launched in 2023.
They bring fantastic ideas, stability, and a clear focus on safety, both mental and physical, to our games. Both Erwin and Tom are brilliant roleplayers and have a passion for tabletop RPGs & LARP
Sally is the backbone of the practical crew at Erindor.

She helps haul the stock to and from the location, makes sure there’s enough lighting everywhere, and ensures everything looks great and fits the setting. She also lends a hand in the kitchen or bar when needed, all while playing a supportive NPC during the event.
Sally has been roleplaying for a long time and joined the crew when we where still doing our Crossroads events in a supportive manner. She truly became the logistical backbone during our events when Erindor started.
Honorable mention: Steven!

Steven has been with us since the very beginning, back in the early Crossroads days.
He was also part of the crew during the first Erindor events. Due to personal reasons, he took a step back, but you might still spot him from time to time. 😉
Steven is a fantastic roleplayer, best known for his epic in-game moments, dramatic combat scenes, and his unforgettable performance as the notorious “Banana Man“.
Head Organizer
Martijn Huygens – The professional driving force behind the Erindor LARPmachine.
Big dreams, lots of passion, a clear vision and a touch of chaos. 😉
From logistics to storyline, from player coordination to monster suits (often with him inside), everything runs through him. Both in the weeks and months leading up to the event and throughout the weekend itself, he makes sure everything runs smoothly, so participants can experience a full-fledged, immersive LARP adventure.
